Each Ascertia Docs user is automatically provided with an individual signing key and certificate as they register, however they can also use an existing key and certificate from almost any CA.

How Online Electronic Signature Service Works?
Ascertia Docs works in three simple steps:
Upload
Firstly the document owner uploads the document, which can be in PDF or various office document formats. The document can be converted into PDF/A for long-term accessibility.
Share
The document owner identifies who needs to sign the document by dragging and dropping “sign here” blank fields within the document. The order of each signer is defined, as well as the permitted access rights (e.g. ability to download the document locally, printing etc.). Once prepared, the document owner shares the document. Ascertia Docs automatically notifies the first signer via email that the document is ready for their sign-off.
Sign
Each collaborator (i.e. signer), reviews the document within a secure viewer and signs within the blank field reserved for them. Ascertia Docs then notifies the next signer and so on. The original document owner is notified when the workflow process has completed.
Ascertia Docs has been designed to be compliant with a range of electronic signature legislation and regulatory frameworks, including EU law (EU Directive for Electronic Signatures), US Electronic Signatures in Global and National Commerce Act (E-Sign), The Health Insurance Portability and Accountability Act (HIPAA), 21 CFR Part 11(a regulation governing the use of electronic signatures within the pharmaceutical industry) and others. A legal statement can be shown to the user before electronically signing using Go>Sign Applet to ensure the user understands the implications of their electronic signature.
